Use VariationDesk when site connectivity is poor
How to prepare the mobile app, capture records without a reliable signal and sync them safely when connection returns.
What this guide covers
Basements, plant rooms and remote sites do not always have dependable data coverage. VariationDesk can keep a field record on the device and send it when connectivity returns, but the user still needs to prepare the app and check that syncing has finished.
Prepare before entering the dead zone
Open the app while you still have a connection so the latest assigned projects and available work items are on the device.
- Sign in before travelling to the area with poor coverage.
- Open the dashboard and confirm the required project is visible.
- Allow any pending sync to finish before closing the app.
- Keep enough device storage and battery for photos and attachments.
Capture the record normally
When the app reports that it is offline, continue through the variation steps. The record is held locally until it can be sent.
- Choose the project and describe the instruction.
- Take photos and add notes while the evidence is available.
- Enter quantities and select the intended approval route.
- Read the offline notice on the review screen before submitting.
Understand what still needs a connection
A locally saved record can wait for connectivity, but actions involving another person or external service cannot complete until the device is online.
- Remote approval links need a connection before they can be issued.
- New server-side information will not appear until the app refreshes.
- Office users will not see the record until the queued submission has synced.
- Push notifications and external messages arrive only when network access is available.
Reconnect and confirm the sync
When service returns, open the app and allow the queued work to send. Do not assume that reconnecting alone means every photo and record has finished uploading.
Stay in the app
Keep VariationDesk open long enough for pending records and attachments to process.
Check the result
Confirm the variation appears in the latest submissions or office workspace with the expected status.
Resolve any warning
Retry a failed item rather than creating the same variation again, which can cause duplicates.
Protect records waiting on the device
Until a record has synced, the only complete copy may be on that phone or tablet.
- Do not uninstall the app or clear its storage while work is pending.
- Avoid signing out before queued records have finished sending.
- Report a lost or damaged device promptly so account access can be reviewed.
- Use the device’s normal screen lock and biometric protection.
